Does WorthIT Fixed Assets have an Importing Utility?
Absolutely! WorthIT Fixed Assets can import in your Assets, G/L Account Segments, and Vendors provided that they are in comma-separated
value (CSV) files.
If you were maintaining your fixed assets in a spreadsheet system, it is possible to take that data, manipulate it, and import it in directly into our system. Conversely, if you were using another fixed asset management system and can export or extract the data into a spreadsheet, you can also import this into our system as well.
The help files within the import screen in Fixed Assets provides enough information for you to import in your assets. However, here are some quick hints:
- Company ID's, Category ID's, Tax Classes, and Account Segments must all be setup in your asset book before you begin to import in your data.
- The first seven columns on the CSV file are mandatory for every asset. You must have a value for each of these columns at the time of importing. If one of the fields are blank, the asset will not be imported in.
- All dates must include a four digit year and be in the format CCYYMMDD
(Century, Year, Month, Day) no matter what the settings are in Fixed Assets. Do not use any slashes or dashes to separate the values. For instance, 20001231 is a valid date whereas 2000/12/31 is invalid.
- All numerical values should not contain any dollar signs or commas. You may use decimal points if needed. However, it is not necessary if there are no cents.
- It is possible to import in your Accumulated Depreciation as well. This will enable you to balance with your general ledger system accurately. In column I, this is where you enter in the Accumulated or Life-To-Date Depreciation amount. This amount MUST be at of the end of the fiscal year. In column J, this is the corresponding fiscal year for the Life-To-Date Depreciation amount. Just use the format CCYY,
i.e. 2000. 2000 would represent the last day of your year, i.e. December 31, 2000.
- No commas are allowed in this import file. Because it is a comma-separated values file, a comma in any fields would shift the values over, thus causing importing problems. After your file is complete, perform a Search in the file for a comma. Delete any commas. If they are used in asset
descriptions, try using a dash instead as asset descriptions can handle dashes.
- All fields must be formatted as test or general.
- Data is case-sensitive. e.g. if the division number is 00500 it must
be 00500 in the spreadsheet. 500 will not import.
e.g. If the category ID is COMP, it must be COMP in the spreadsheet.
comp will not import.
We have provided a sample CSV file that you can download by clicking here. Please note that this is just a sample CSV file, the asset cannot be imported in your asset book unless all the criteria from the above first point is met.
